FAQ
Frequently asked questions
Everything hospital and clinic teams ask us about EHR, OPD/IPD, lab, pharmacy, billing, workforce, security, multi-branch support, and pricing.
Getting started
What is HealUDoc?
HealUDoc is a hospital management and electronic health records (EHR) platform that unifies clinical, diagnostic, pharmacy, finance, and workforce workflows into one system. It is built for clinics, hospitals, and multi-branch healthcare networks that need shared patient records and connected operations.
How do I get started with HealUDoc?
Book a demo and our team will walk through your current workflows, recommend the modules you need, and outline an onboarding timeline. Once you sign up, we guide configuration, data migration, and staff training before go-live.
Can I try HealUDoc before committing?
Yes. We offer live, guided demos using scenarios relevant to your hospital or clinic so you can see the modules in action. No self-serve sandbox is required — a scheduled walkthrough is the usual first step.
Who is HealUDoc designed for?
HealUDoc serves single-site clinics, diagnostic centers, full-service hospitals, and multi-branch healthcare networks. The same platform scales from outpatient-focused practices to inpatient facilities with lab, pharmacy, and critical-care workflows.
EHR & clinical documentation
What does the EHR module include?
The EHR module covers patient registration, structured clinical notes, vitals, prescriptions, allergies, discharge summaries, and a longitudinal health history. That record follows the patient across visits, departments, and branches on the same platform.
Does HealUDoc support discharge summaries and clinical notes?
Yes. Clinicians can document encounters with structured notes and generate discharge summaries tied to the admission and treatment course. Completed documentation stays on the patient chart for later visits and audit review.
Can prescriptions and allergies be tracked in the EHR?
Yes. Prescriptions, known allergies, and key clinical alerts are stored on the patient record and available to authorized clinical staff. This helps reduce duplicate entry when patients move between OPD, IPD, and pharmacy.
Which modules does HealUDoc offer overall?
HealUDoc includes 22+ modules spanning EHR, OPD/IPD, appointments, laboratory, radiology, pharmacy and inventory, blood bank, operation theatre, billing and finance, staff and payroll, and analytics. All modules connect to the same patient and operational data model.
Appointments & patient portal
How does appointment scheduling work?
Front-desk and clinical teams can book, reschedule, and track appointments by doctor, department, and slot. Schedules stay linked to the patient record so consultation history and billing can follow from the same visit.
Does HealUDoc include a patient portal?
Yes. The patient portal lets patients view relevant visit information and interact with services your hospital enables, such as appointment-related access. Portal visibility follows the permissions and modules you configure.
Can patients book or manage appointments online?
Where your hospital enables portal or online booking flows, patients can request or manage appointments through the patient-facing experience. Staff retain control over confirmation, doctor availability, and clinic rules.
OPD, IPD, admissions & beds
Does HealUDoc support both OPD and IPD workflows?
Yes. Outpatient (OPD) and inpatient (IPD) workflows run on the same platform with a shared patient record. Teams can move from consultation to admission without re-entering demographics or clinical history.
How are admissions and bed management handled?
Admissions capture ward, bed, and attending details, and bed status updates as patients are admitted, transferred, or discharged. Administrators can see occupancy across wards instead of relying on paper boards alone.
Can we track ward transfers and length of stay?
Yes. Transfers between wards or beds are recorded on the admission, and length-of-stay information is available for operational and billing review. This supports both clinical handoffs and discharge planning.
Laboratory & radiology
Does HealUDoc support lab and radiology workflows?
Yes. The diagnostics modules manage sample collection, lab queues, results, radiology reports, and related billing. Results flow back into the patient clinical record for authorized clinicians to review.
Can lab orders be placed from the clinical chart?
Yes. Clinicians can order investigations from the patient record, and the lab or radiology teams receive those requests in their queues. Completed reports remain attached to the same encounter or admission.
How are diagnostic results shared with doctors?
Once verified, results and reports appear on the patient chart for authorized clinical users. This reduces manual chasing of paper reports between departments and keeps a durable record for follow-up visits.
Pharmacy & inventory
What does the pharmacy module cover?
The pharmacy module supports dispensing against prescriptions, stock movements, and inventory visibility for hospital pharmacies. It connects to clinical and billing workflows so medication issues stay aligned with the patient visit.
Can we manage medicine inventory and stock levels?
Yes. Inventory tracking helps pharmacies monitor stock, issues, and replenishment needs within the modules you enable. Multi-branch networks can keep branch-level stock visibility while sharing the same platform.
Does pharmacy billing connect to hospital finance?
Yes. Pharmacy charges can flow into the patient bill and finance workflows instead of living in a separate spreadsheet. That keeps clinical dispensing and revenue recording on one operational trail.
Finance, billing & doctor payouts
How does hospital billing work in HealUDoc?
Billing covers OPD, IPD, diagnostics, pharmacy, and other enabled services against the patient encounter or admission. Daily closing and reporting tools help front desk and finance teams reconcile collections.
Does HealUDoc support corporate and insurance accounts?
Yes. Corporate accounts and consolidated billing options help hospitals serving company or panel patients. Multi-branch networks can also consolidate reporting across branches where configured.
Can we manage doctor payouts and revenue sharing?
HealUDoc includes finance workflows that support tracking doctor-related revenue and payouts based on the rules your hospital defines. Exact payout configuration is set during implementation to match your agreements.
Are financial reports available for leadership?
Yes. Analytics and finance reporting give administrators visibility into revenue, collections, and related operational metrics. Multi-branch plans add cross-branch consolidated views for network leadership.
Workforce: attendance, shifts & payroll
Does HealUDoc include staff attendance and shift management?
Yes. Workforce modules cover attendance, shift scheduling, and related staff operations for hospital teams. This helps administrators coordinate clinical and support staffing alongside clinical workflows.
Can payroll connect to attendance data?
Where enabled, payroll workflows can use attendance and shift information as inputs instead of maintaining a fully separate manual process. Final payroll rules are configured to match your hospital policies during onboarding.
Who can see workforce and payroll information?
Access is role-based. Clinical staff typically do not see payroll data, while HR and administrators receive only the permissions their roles require. Audit logs record sensitive actions for accountability.
Critical care: ER, OT, blood bank & dialysis
Does HealUDoc support operation theatre (OT) scheduling?
Yes. OT scheduling helps hospitals plan surgical slots, teams, and related documentation on the same platform as the patient record. This reduces reliance on separate OT registers disconnected from IPD and billing.
Is there a blood bank module?
Yes. The blood bank module supports blood bank workflows within the HealUDoc platform so inventory and issue activity can stay connected to clinical care. Configuration during onboarding matches how your blood bank operates.
Can emergency (ER) and dialysis units use HealUDoc?
Critical-care related modules and workflows — including emergency and dialysis management where enabled — run on the same patient and operational data model. Teams keep documentation and billing linked rather than in isolated tools.
Do critical-care modules integrate with IPD and billing?
Yes. OT, blood bank, dialysis, and related services are designed to connect to the patient admission and finance workflows. That keeps clinical activity and charges on one trail for discharge and reporting.
Security, roles, multi-branch & NABH
How does HealUDoc protect patient data?
Data is encrypted in transit and at rest, access is controlled through role-based permissions, and sensitive actions are captured in audit logs. See our Security page for a fuller overview of controls and practices.
Who owns the patient data entered into HealUDoc?
Your hospital or clinic owns and controls all patient data. HealUDoc acts as a data processor providing the software platform — we do not use your patient data for purposes outside operating and supporting your account.
Does HealUDoc support NABH documentation requirements?
HealUDoc includes dashboards, activity logs, and reporting tools designed to help hospitals organize documentation commonly needed for NABH and similar accreditation processes. Accreditation itself is granted to your hospital, not to the software.
Can HealUDoc manage multiple hospital branches?
Yes. HealUDoc supports centralized, cross-branch reporting alongside per-branch operations. Administrators can see the whole network while each branch runs its own day-to-day clinical and administrative workflows.
How granular are user roles and permissions?
Roles can separate front desk, clinical, pharmacy, lab, finance, and administrative access so staff only see modules relevant to their job. Permissions are configured during onboarding and can be adjusted as your team structure changes.
ABDM, ABHA & DPDP compliance
Is HealUDoc ABDM compliant?
HealUDoc is designed to support ABDM workflows — ABHA creation and linkage during registration, structured clinical capture suited to FHIR R4 output, and consent state held against the patient record. Milestone certification is specific to a product version and milestone level, so we confirm current status directly on a demo call rather than making a blanket claim here.
What is the difference between ABDM and ABHA?
ABDM (Ayushman Bharat Digital Mission) is the national digital health programme — its registries, standards, and consent framework. ABHA (Ayushman Bharat Health Account) is the individual health account and identifier issued to a patient within that framework. ABHA is the patient identity used inside ABDM, not another name for the programme.
Can patients refuse to link an ABHA number?
Yes. ABHA linkage is voluntary and a refusal must never obstruct treatment, so registration in HealUDoc works fully without one. Linkage is offered as an optional step rather than a mandatory field.
Does HealUDoc make our hospital DPDP Act compliant?
No software can do that on its own, and any vendor saying otherwise is overselling. Compliance also covers consent notices, retention policy, grievance handling, vendor contracts, and staff conduct, which sit outside any system. What HealUDoc provides is the technical side: consent recorded per purpose, role-based access, access logging, structured export, and configurable retention.
How does HealUDoc handle patient consent?
Consent is stored as structured data against the patient record with the purpose it was given for, plus a history of grants and withdrawals. Because it is recorded per purpose rather than as a single flag, a withdrawal is something the system can act on instead of a note somebody has to remember.
Do NABH, ABDM and DPDP requirements overlap?
They overlap most on documentation and consent, but they are separate obligations with different owners and evidence. A hospital can be ABDM-integrated and still fall short on DPDP retention limits or data-principal rights. Most hospitals plan them as one programme rather than three, which is why our compliance pages cross-reference each other.
Pricing, demo, onboarding & support
How is HealUDoc priced?
Pricing is custom, based on the modules you need, the number of beds or branches, and your support requirements. See our Pricing page for Clinic, Hospital, and Multi-branch Network tiers, or book a demo for a tailored quote.
What happens in a HealUDoc demo?
A live demo walks through modules relevant to your hospital — typically EHR, OPD/IPD, diagnostics, pharmacy, and billing — using realistic workflows. You can ask about integrations, roles, and onboarding timelines in the same session.
How long does onboarding take?
Timelines vary by scope. A single clinic can be live in a few weeks, while multi-branch hospital networks typically take longer to configure branches, migrate historical data, and train staff across departments.
Will you help migrate our existing records?
Yes. Our implementation team works with you to migrate existing patient, billing, and inventory data from spreadsheets or legacy systems into HealUDoc as part of onboarding. Scope depends on data quality and source systems.
What support is available after go-live?
All plans include support access and product updates. Hospital and Multi-branch Network plans include priority support and a dedicated implementation contact for ongoing questions after go-live.
Can we start with only a few modules and add more later?
Yes. Most hospitals start with core clinical and billing modules, then add laboratory, pharmacy, workforce, or critical-care modules as they are ready. Everything runs on the same platform, so there is no separate integration project later.
